1. OUR COMPLIANCE STATUS & ICO REGISTRATION

Safe Start Food Safety takes data protection seriously. We are fully registered as a data controller with the UK Information Commissioner’s Office (ICO) under registration number [registration currently pending/awaiting official number ]. We process all personal information strictly in accordance with UK GDPR and the Data Protection Act 2018.

2. THE DATA WE COLLECT AND WHY WE COLLECT IT

We operate under strict data minimisation principles. We only collect basic corporate and business contact information necessary to deliver our services.

We collect and process the following information:

  • Business Contact Details: Client names, business names, physical trading addresses, corporate email addresses, and phone numbers.
  • Financial Information: Invoicing details, bank details for payments, and transaction histories.
  • Operational Logs: Notes, photographs, and records taken during kitchen compliance audits to help draft your site-specific HACCP frameworks.

Trainee Data Restriction (No Student Names)

Safe Start Food Safety does not collect, store, or process individual trainee names or employee personal data. All student registration lists and proof of internal training compliance are held and managed exclusively by the Client. We only record the total group headcount size for calendar booking and invoicing validation.

3. OUR LAWFUL BASIS FOR PROCESSING DATA

Under UK GDPR, we must have a valid legal reason to handle your information. We rely on the following legal bases:

  • Contractual Necessity: We need your business contact details and audit notes to fulfil our contract with you (e.g., carrying out the audit and writing your HACCP manual).
  • Legal Obligation: We are legally required to keep financial invoicing records for a set period to satisfy HMRC tax regulations.
  • Legitimate Interests: We keep project history logs to protect our business, handle insurance requirements, and assist you if you request follow-up consulting work

4. HOW WE STORE YOUR DATA AND HOW LONG WE KEEP IT

Your data is stored securely on protected digital devices and encrypted cloud storage systems. We do not keep your information indefinitely.

Our retention timelines are:

  • Client Files & Audit Records: Kept digitally for 6 years following the end of our contract to satisfy professional indemnity insurance requirements. After this period, files are permanently deleted.
  • Financial & Invoice Records: Kept for 6 years plus the current financial year to comply with HMRC tax laws.

5. WHO WE SHARE YOUR DATA WITH

We value your privacy and never sell or rent your information to third-party marketing networks. We only share your data with:

  • Essential business tools used to run our operations (such as our professional email provider, invoicing software, and banking services).
  • Law enforcement or regulatory authorities (like HMRC), but only if we are legally forced to do so

  • See copies of the business records we hold about you.
